Vendor Information

Everything you need to know before applying to become a vendor at Vista Farms. Please review the information below before submitting your application.

Booth & Fees

Standard Vendor Space: 10' × 10'
Vendor fees vary by event and participation length.

Vendors provide their own tent, tables, chairs, displays, and equipment unless otherwise specified.

Electricity is limited and must be requested in advance. Additional fees may apply.

Accepted vendors will receive event-specific pricing and payment instructions.

Vendor Requirements

Vendors should offer quality products, food, services, or experiences that complement the atmosphere of Vista Farms events.

All vendors are responsible for obtaining any licenses, permits, insurance, or health department approvals required for their business.

Canopies and tents must be properly secured with adequate weights. Stakes may only be used in approved areas.

Food vendors must comply with all applicable food-safety and permitting requirements.

Event Logistics

Vendor check-in, setup, and teardown times will be provided before each event.

Vendor vehicles must be moved to designated parking before the event opens to guests.

Vendors are expected to remain set up for the full event unless otherwise approved.

For multi-day events, booths may remain set up overnight when permitted. Vendors are responsible for securing their merchandise and equipment.

Vista Farms events are held outdoors. Vendors should be prepared for sun, heat, wind, dust, and changing weather conditions.

Vendor Policies & Cancellations

We understand that plans can change. Our vendor policies help us create a well-organized, safe, and enjoyable event for our vendors and guests.

APPLICATION & ACCEPTANCE
Submitting an application does not guarantee acceptance. Vista Farms reviews applications to create a diverse vendor lineup and minimize excessive duplication of products. Accepted vendors will receive confirmation and payment instructions.

CANCELLATIONS & REFUNDS
Vendor fees are non-refundable after the cancellation deadline established for each event. Cancellations before the deadline may be eligible for a refund or credit as specified in the event's vendor information.

EVENT CONDUCT
Vendors are expected to maintain a professional, welcoming booth and follow event staff instructions. Vista Farms reserves the right to address unsafe, disruptive, or inappropriate conduct when necessary.

PAYMENT
Vendor space is not reserved until payment is received. Payment must be submitted by the deadline provided in your acceptance notice. Unpaid spaces may be released to another vendor.

WEATHER
Vista Farms events are primarily outdoor events and may continue during light rain, wind, heat, or other typical seasonal conditions. Vendors are responsible for protecting and securing their own tents, displays, merchandise, and equipment.
